Administrative Assistant for a Fast-Growing Marketing Agency

Location: Macomb County, Michigan Position Type: Hybrid Part-Time to Full-Time

About the Role

The Administrative Assistant will be responsible for the smooth day-to-day operations of the agency, ensuring the team has what they need to succeed. You will work closely with our internal team to:

Streamline internal communications

Assist the sales department with appointment setting and lead management

Communicate with clients

Organize digital files and documentation

Support client billing and basic reporting

This role is ideal for someone who is meticulous, proactive, and ready to grow within a high-performance home-service marketing agency. We are looking for an organizational expert to keep our gears turning.

Responsibilities

Sales Assistance by following up with leads, set appointments, and assist the sales department.

Handle document control: preparing contracts, organizing Google Drive folders, and managing e-signatures.

Oversee CRM data entry: ensuring client contact info is accurate and leads are properly tagged.

Act as a liaison between departments to ensure project deadlines are tracked and met.

Prepare weekly reports summarizing agency performance and operational expenses.

(Bonus) Assist with basic accounts receivable or invoicing.

Maintain internal SOPs (Standard Operating Procedures) to ensure the team follows consistent processes.

Manage and coordinate calendars, scheduling meetings across multiple time zones.

Requirements

1+ years of experience in administrative assistance, office management, or a similar support role.

1+ years of experience with appointment setting or sales assistance.

Very Tech Savvy high confidence in technology and ability to adapt to new systems.

Exceptional organizational skills with a "nothing slips through the cracks" mentality.

Confident on the phone speaking with leads and setting appointments. Minor sales skills needed.

Ability to handle sensitive information with a high level of confidentiality.

Comfort working in a fast-paced agency environment with shifting priorities.

Strong verbal and written communication skills for professional correspondence.

Self-starter who can identify a problem and fix it before being asked.
